RECOMMENDATION:
Recommendation Concerning a Ricoh Copier Lease for the Escambia County Community & Environment Department - Keith T. Wilkins, Community & Environment Department Director

That the Board award a Purchase Order for a 60-month Lease Option to Copy Products Company, for the Community & Environment Department, for an annual amount of $1,494, in accordance with the Escambia County, Florida, Code of Ordinances, Chapter 46, Finance, Article II, Purchase and Contracts, Section 106 - Multi-Year Lease and Lease Purchase Agreements.

BACKGROUND:
The current copier being used by the Water Quality and Land Management Division is a Konica Minolta Bizhub DI510 (PN 54265), purchased in 2005.  Repair parts are no longer available from the manufacturer.  Proposed replacement unit is the Ricoh MPC4503SP Multifunction Photocopier. Replacement of obsolete equipment will allow more centralized and efficient printing, scanning and faxing capabilities for the Division.  The equipment lease amount will be $124.50 per month.  With the lease agreement, the maintenance contract cost per copy will be stabilized for the term of the 60-month lease at $.007 per page black and white and $.05 per page for color copies.

POLICY/REQUIREMENT FOR BOARD ACTION:
In accordance with Code of Ordinances, Chapter 46, Finance, Article II, Purchases and Contracts, Section 106 - Multi-year Lease and Lease Purchase Agreements. Quotes were solicited and obtained from three different vendors. The vendor with the lowest monthly cost was selected.
IMPLEMENTATION/COORDINATION:
The Community and Environment Department will coordinate with the Office of Purchasing to issue the necessary Purchase Order(s).
