RECOMMENDATION:
Recommendation Concerning the West Florida Public Library Computer Replacement Project - Paul Nobles, Purchasing Manager, Office of Purchasing
 
That the Board approve and authorize the County Administrator to sign the Purchase Order from Escambia County, Florida, to Dell Marketing L.P., per the terms and conditions of PD 17-18.046, West Florida Public Library Computer Replacement Project, for a lump sum of $109,570.

BACKGROUND:
The legal advertisement for this "Invitation to Bid" was advertised in the Pensacola News Journal on Monday, March 26, 2018.  Additionally, the Office of Purchasing contacted via email ten manufacturers listed on the State of Florida Department of Management Services (DMS) site as having agreements in place with the State of Florida.  One bid was received on April 10, 2018.

This purchase will provide replacements for sixty-three public computers and twenty-one staff computers that are nearing the end of useful life in their current roles in WPFL facilities.  This purchase also provides twenty-five additional laptop computers, with a storage/charging cart, for the purpose of expanding STEAM programming at WFPL locations and at Escambia County community centers.
BUDGETARY IMPACT:
Funding: 
$31,450. Fund 113, Capital; Cost Center 110503, Information Systems; Object Code 56401, Machinery & Equipment
$78,120. Fund 113, Operating Supplies; Cost Center 110503, Information Systems; Object Code 56401, Machinery & Equipment

The $78,120. noted above will come from Operating Supplies fund due to the per-unit cost being under $1,000.

All work associated with this recommendation was done in-house and no additional staff was required.
POLICY/REQUIREMENT FOR BOARD ACTION:
This recommendation is in compliance with the Code of Ordinances of Escambia County, FL 1999, Chapter 46, Finance, Article II Purchases and Contracts.
IMPLEMENTATION/COORDINATION:
The Office of Purchasing will issue the Purchase Order.
