RECOMMENDATION:
Recommendation Concerning Exercising the Second of Two Possible One-Year Renewal Periods Related to Fire Fighting Equipment for Various County Buildings - Robert Dye, Interim Facilities Manager, Facilities Department and Paul Nobles, Purchasing Manager, Office of Purchasing

That the Board approve the utilization of the last of two possible one-year renewals, per the terms and conditions of PD 14-15.078, Fire Fighting Equipment Service for Various County Buildings, retroactive to October 8, 2019, between Escambia County and the Hiller Companies, Inc., d/b/a Hiller Systems, for an annual estimated amount of $16,050. There is no change in price from the previous renewal.

BACKGROUND:
This service Contract provides for the annual inspection, repair, servicing, and hydro-static testing of over 760 County fire extinguishers. These fire extinguishers are located in County-owned or - leased facilities. Included in the service Contract are the annual and semi-annual inspections, repair, and servicing of the County's kitchen hood systems located in the Road Prison Barracks, Escambia County Jail, Juvenile Justice, Barrineau Park Community Center, Public Safety, Molino Property Appraiser, and the Marie K. Young/Wedgewood Community Center. Additionally, this Contract provides for the annual and semi-annual inspections, repair, and servicing of the Halon fire suppression system located in the Sheriff's Administration Building and the FM-200 under-floor fire suppression system in the Public Safety building.

The Office of Purchasing advertised the Invitation to Bid PD 14-15.075 for Fire Fighting Equipment Service for Various County Buildings, and notified five firms on July 27, 2015. Two bids were received in the Office of Purchasing on August 20, 2015, and Hiller Companies, Inc. d/b/a Hiller Systems was the lowest most responsive and responsible bidder. On October 8, 2015, the Board awarded PD 14-15.078, to include a three-year Agreement with up to two one-year renewal options.

Today's Recommendation is for the Board to award the second of two possible one-year renewal options.

POLICY/REQUIREMENT FOR BOARD ACTION:
This Recommendation is in compliance with the Escambia County, FL, Code of Ordinance, Chapter 46, Article II, Purchasing and Contracts.
IMPLEMENTATION/COORDINATION:
The Office of Purchasing will provide notice of Agreement renewal and issue related Purchase Orders as required.
