RECOMMENDATION:

Recommendation Concerning a Sales Order/Service Agreement and Lease Agreement with Dex Imaging for the Corrections Department, Community Corrections Division - Tammy Jarvis, Director of Corrections

That the Board take the following action:

A. Approve the Sales Order/Service Agreement and Lease Agreement with Dex Imaging for the lease and service of three machines for a term of 48 months. The monthly charge will be $265.05, which will include 15,000 copies. The price per copy after the allotment will be $0.0055 per copy. The estimated total monthly expenditure will be $382.95; and

B. Authorize the Chairman to sign Sales/Order Service Agreement and the Lease Agreement.

BACKGROUND:

A review of the Escambia County Corrections-Community Corrections copying and printing equipment revealed that three units located at various facilities had leasing terms that would expire on May 1, 2017. In an attempt to meet the needs of the division while decreasing cost, competitive quotes were obtained from 3 vendors. The Office of Supplier Diversity database was searched for both Escambia and Santa Rosa County and no results were returned utilizing the commodity code for office supply lease and maintenance services. The most fiscally responsible submission was received from Dex Imaging and will result in a yearly savings of $1,647 when compared to the current pricing.

BUDGETARY IMPACT:

Funding is available in Fund 114, Misdemeanor Probation Fund, Cost Centers 290301 Misdemeanor Probation and 290305 Residential Probation, Object Code 54401, Rentals and Leases.

LEGAL CONSIDERATIONS/SIGN-OFF:

This contract has been reviewed by Kristin Hual, Assistant County Attorney and found to be legally sufficient.

POLICY/REQUIREMENT FOR BOARD ACTION:

This recommendation is In accordance with Escambia County, Florida, Code of Ordinances, Chapter 46, Finance, Article II, Purchases and Contracts, Section 106-Multi-Year Lease and Lease Purchase Agreements.

IMPLEMENTATION/COORDINATION:

Once the agreement has been signed the Corrections Department will work with the Office of Purchasing in order to obtain a purchase order for the outlined services.
