RECOMMENDATION:
Recommendation Concerning an Agreement with Data Management, Inc.- Shawn P. Fletcher, Information Technology Director

That the Board take the following action concerning an Agreement with Data Management, Inc.:

A. Approve the TimeClock Plus Ondemand Service Agreement with Data Management, Inc., for Timeclock Plus License and Annual Subscription;

B. Ratify the current Purchase Order, dated December 14, 2018, in the amount of $33,299.64, to Data Management, Inc., for Timeclock Plus License and Annual Subscription and one-time implementation costs; and

C. Approve and authorize the Interim County Administrator to execute all current and future documents related to the acceptance of the TimeClock Plus Ondemand Service Agreement with Data Management, Inc., for Timeclock Plus License and Annual Subscription without further action of the Board.

[Funding:  Funds are already encumbered on Purchase Order 190830, dated December 14, 2018:
Fund 001, General Fund, Cost Center 270103, Information Technology $10,000;
Fund 143, Fire Protection Fund, Cost Center 330206, Fire Dept PD $7,551.82; and
Fund 408,  Emergency Services, Cost Center 330302, EMS Operations $15,747.82]
BACKGROUND:
Timeclock plus is a cloud based timekeeping system that will be used by Public Safety and Information Technology Departments. This system will interface with eFIN financial system to provide two way data transfer for time and accruals. TimeClock Plus also provides online leave and FMLA tracking.

This agreement has the possibility to extend beyond one year.
BUDGETARY IMPACT:
No additional Funding is required.
Funds are already encumbered on Purchase Order 190830 dated December 14, 2018:
[Fund 001, General Fund, Cost Center 270103, Information Technology $10,000; and 
Fund 143, Fire Protection Fund, Cost Center 330206, Fire Dept PD $7,551.82; and
Fund 408,  Emergency Services, Cost Center 330302, EMS Operations $15,747.82]
LEGAL CONSIDERATIONS/SIGN-OFF:
Assistant County Attorney, Kristin D. Hual, reviewed and approved the Agreement.
PERSONNEL:
No additional personnel are anticipated.
POLICY/REQUIREMENT FOR BOARD ACTION:
This recommendation is in compliance with the provision of the Code of Ordinances of Escambia County, Florida Chapter 46 Article II, Division 3, Section 81, Purchasing and Contracts.
IMPLEMENTATION/COORDINATION:
The Information Technology Department will coordinate efforts on behalf of the County.
