RECOMMENDATION:
Recommendation Concerning Exercising the First of Two Possible One-Year Renewal Periods Related to PD 17-18.096, Roadway Materials Pricing Agreement - Wes Moreno, Public Works Department Director, and Paul Nobles, Purchasing Manager, Office of Purchasing

That the Board approve the utilization of the first of two possible one-year renewal periods provided for under Section 2 of the Indefinite Quantity, Indefinite Delivery Agreement for Roadway Materials Pricing, retroactive to October 31, 2019, with the following vendors:

A. Roads, Inc. of NWF;
B. Panhandle Grading and Paving, Inc.; and
C. Midsouth Paving, Inc.

BACKGROUND:
Invitations to Bid, PD 17-18.096, Roadway Materials Pricing Agreement, were publicly noticed on August 27, 2018, to seven known providers. Bids were received from three providers on September 19, 2018.

The Agreement provides for a price adjustment on a 12-month basis. Two vendors, Midsouth Paving, Inc. and Roads, Inc. of NWF, have submitted pricing changes that have been approved by the Road Department. The updated pricing is included in the provided documentation.

POLICY/REQUIREMENT FOR BOARD ACTION:
This Recommendation is in compliance with the Code of Ordinances of Escambia County, FL 1999, Chapter 46, Finance, Article II, Purchases and Contracts.
IMPLEMENTATION/COORDINATION:
The Road Department shall perform the function of Contract Administration and Management for this project, with the assistance of the Office of Purchasing for specific needs.
