RECOMMENDATION:

Recommendation Concerning Microfilm and Microfiche Digital Conversion - Paul Nobles, Office of Purchasing, Purchasing Manager

That the Board approve and authorize the County Administrator to sign the Agreement between Escambia County, Florida and Imagenet, LLC, per the terms and conditions of PD 16-17.037, Microfilm and Microfiche Digital Conversion, at the rate of $0.018 per microfiche and $0.017 per microfilm for an estimated total of $687,645.22

BACKGROUND:

Request for Proposals, PD 16-17.037, Microfilm and Microfiche Digital Conversion was publicly noticed in the Pensacola News Journal on Monday, May 8, 2017 to fifteen firms. Responses were received from ten firms on Wednesday, May 31, 2017. The Review Committee Short-Listed to four firms on June 19, 2017, requesting these firms to perform digital conversions to microfilm and microfiche samples provided. The Review Committee held discussions with the Short-Listed firms on June 29, 2017. Imagenet, LLC was selected based on selection criteria established in the solicitation.

POLICY/REQUIREMENT FOR BOARD ACTION:

This recommendation is in compliance with the Code of Ordinances of Escambia Counth, FL 1999, Chapter 46, Finance, Article II Purchases and Contracts.

IMPLEMENTATION/COORDINATION:

The Office of Purchasing will issue the Agreement prepared by the County Attorney and Purchase Order.
